Lanes & Planes offers the option to connect your external expense management tool (currently exclusively Circula) via our Expense API (one-way interface). This allows for the automated transfer of your employees' booking data.

1. Setting up the Expense API
Are you interested in automatically transmitting your booking data to your external expense management tool? Please notify your Implementation Manager or Account Management contact to get started.
1.1 Configuration in Lanes & Planes
Once activated by Lanes & Planes, an Organization Admin can complete the setup:
Go to Company Account → Settings & Policies.
Click the External Expense Management Tool button.
Select your provider (e.g., Circula) from the dropdown menu.

Enter your Client ID and your Auth Token.
Note: You must obtain these credentials directly from your provider (Circula).
Save your changes.
Important: As soon as this interface is activated, the Lanes & Planes internal expense solution (if previously used) will be automatically deactivated.
1.2 Linking with Third-Party Providers
The specific configuration steps depend on the respective provider. If you have questions regarding their side of the setup, please contact your dedicated representative at that company directly.
2. Transferred Data
The following information is included in the data set sent to your expense management tool:
Booking Details: Booking/Item IDs, title, service type, and status.
Accounting: Cost center, cost unit, reference number, and invoice profile.
Travel Details: Start/end dates, route, country, and coordinates.
Travelers: Name and email address.
Catering: Information on whether breakfast is included in a hotel booking.
3. Data Synchronization Logic
Timing: Data is transferred immediately after a booking is created or updated.
Scope: All bookings (made online or via Support) are synchronized.
Updates: Changes to specific item details (e.g., flight or hotel changes) trigger an update. Purely organizational changes at the booking level (such as cost centers or comments) do not trigger a re-synchronization.
4. Important Information
Individual Travelers: Currently, only the data of the first traveler in a booking is transferred.
Multi-Entity: We do not currently support "Multi-Entity" configurations for Circula.
